Welcome Back

We are so excited to be reopening and welcoming you all back to the club. I’m sure you will agree, it’s been a long haul. What a different world we live in now. While you were home cleaning closets and learning new hobbies, we’ve been working diligently to provide a new way of operating. We want to keep everyone safe and that means a whole new way of doing business.

We ask for your patience with us as we continue to navigate the ever-changing protocols and recommendations of the government and Niagara Region Public Health. We will monitor daily and ensure that we take whatever steps are necessary to keep The Club at White Oaks operating in a safe way.

We've launched a new property-wide program called White Oaks Clean Care. It takes our already high standards to a whole new level and is detailed here. As a very unique area of our overall business, The Club has many other changes to read below, with our temporary (hopefully) “new normal”.

Safety & Cleaning Practices

We've undertaken many new sanitization steps for everyone's safety, and you'll notice aspects of the White Oaks Clean Care Program throughout the Club

  • The Club has been through a deep clean prior to opening.
  • In compliance with the Niagara-on-the-Lake bylaw, masks must be worn in all public spaces which will include the club public spaces, and locker rooms. Masks can be removed while working out only.
  • We have invested in an Electrostatic Cleaner which helps us properly sanitize equipment, lockers and machines.
  • Hospital grade disinfectant will be used for frequent high touch points throughout the club.
  • Cleaning tasks have been added to everyone’s role and you will see all of our team members involved in our frequent cleaning program.
  • Members will be required to wipe down all equipment, including free weights, BEFORE AND AFTER each use. Sanitizers and wipes will be available.
  • Hand Sanitizer stations have been installed in strategic locations in the club for your use.
  • All White Oak Team members will be required to wear masks where social distancing is not possible.
  • Our team members are required to enter through the same entry point, where they are all assessed to ensure they are healthy and ready to work. Our team are encouraged to stay home should they be unwell.

Members feeling ill, with fever/chills, sore throat, new or worsening cough, difficulty breathing or any possible COVID symptoms we ask that you postpone your visit to the club. Members should not return to the club until they are symptom free. New Booking Procedure for all Classes

We are moving to an appointment based system for all group classes to ensure we maintain health and safety protocols and keep everyone safe. We have calculated our maximum capacity in all studios in the club to ensure we provide a safe environment for everyone and deliver great service. Classes will restart August 3.

About Booking

  • Please ensure you bring your membership card to the club for every visit. Arriving in good time at the club with your membership card in hand, will ensure you check in quickly and start your workout on time.
  • Appointments can be made for the following areas:
    • Yoga Classes (may be booked 7 days in advance)
    • Pilates Classes (may be booked 7 days in advance)
    • Group Exercise Classes (may be booked 7 days in advance)
    • Spin Classes (may be booked 7 days in advance)
    • Tennis Court Time (may be booked 5 days in advance)
    • Squash Court Time(may be booked 3 days in advance)
  • All classes will be 45 minutes long to provide for proper cleaning before and after each workout.
  • Members will need to provide their own yoga mats and any small equipment typically used in the yoga or pilates studio (no blocks, ties, blankets, mats or bolsters will be available)
  • Our instructors will set up all small equipment for each station before the class and will wipe down and put away all at the end of the class as well.

How to Book?

We currently have a system called Gametime that members used to book spin classes and court times. We will be using Gametime for all bookings. All members who do not have an account with gametime should set up their account as soon as possible with the instructions below. We encourage everyone to make their bookings online. Our Club Desk can assist in Gametime bookings if needed. Classes will have limited space due to social distancing protocols in place so please be sure to book in advance.

How to Sign up for Gametime

  1. Visit the Gametime website at https://wor.gametime.net/auth
  2. If it is your first time accessing Gametime, click on the First-Time User tab.
  3. Enter your last name and membership number (ie 0000123456).
  4. Next you'll be required to enter a username and password of your choosing. Everytime you lgin to Gametime, these will be required.
  5. It will then ask for you email... this is optional to fill in.
  6. Choose a landing page for when you login (ie Tennis). This page will show first when you enter Gametime.
  7. You may fill out your personal information by clicking Personal Options> Edit My Profile. While on this screen click yes to enable email reminders of your bookings.

Racquets:

  1. To book tennis, squash or racquetball court time, click on the appropriate tab, followed by the date.
  2. Timeslots in beige are available. Click on the time slot and a window will popup asking for your name.
  3. Enter your Last name, then your first. You are responsible for that court nd the only one that can make changes.
  4. You can now enter the other players. 2 players are allowed 1 hour of court time, with 1.5 hours for doubles.
  5. Click submit, and you will receive a confirmation of this booking.

Classes

  1. Click on classes and choose the class you are interested in from the dropdown category on the left.
  2. Click on the class you'd like to attend, followed by submit.
  3. Enter your name and click on Complete Reservation. An email will be sent to confirm.

Arriving at The Club

  • In compliance with the Niagara-on-the-Lake bylaw, masks must be worn in all public spaces which will include the club public spaces, and locker rooms. Masks can be removed while working out only.
  • We will have one entry door only, located at the main entrance and closest to the parking lot. The exit will be the opposite door. It will be clearly marked for members to ensure physical distancing.
  • Check in at the Club Desk as usual. You are required to bring your membership card and you will scan your own card.
  • We prefer a cashless payment system for the time being, but we will accept cash.
  • Hand sanitizer will be available at the entrance for your use before you enter the club.
  • Floor Decals will be visible to ensure proper physical distancing in the club lobby leading up to the club desk. Please follow social distancing protocol.

Membership & Services Updates

Fees

Monthly payment plans will not be charged until we open and are always processed on the 1st of the month. Monthly billing will resume on August 1st.

Annual Memberships and Short term memberships will be credited back the time to your membership for the number of full months that we were closed. This will NOT be done automatically, as we have a manual system for memberships. Please contact Membership Services to ensure you receive proper credit to your account.

Not ready to return? We are happy to offer a temporary hold on your membership. Please contact Membership Services to arrange your hold prior to August 1st.

Amenities

When we first open, things will definitely be different for members. We must ensure our club is meeting and even exceeding the recommendations set by public health authorities. We will need to close some amenities where physical distancing is not possible or where other risk factors exist.

Front Desk: Team Members behind the desk will be able to assist one person at a time. There will be a plexi glass partition to ensure safety. Other members waiting will do so at the designated areas indicated on the floor or by the stanchions.

Washrooms: Washrooms will be available in the locker rooms and single use washroom facilities throughout the building. Washrooms will be cleaned frequently throughout the day. We encourage all members to remember to wash their hands thoroughly for 20 seconds at minimum.

Locker Rooms/Lockers:

  • The locker rooms will be open for access to your lockers, showers and washroom facilities.
  • Saunas and Steam rooms will NOT be available at this time in compliance with the Provincial guidelines.
  • Towel Service will not be available at this time. Please bring your own towel.
  • Tanning beds are not currently available.

Pool: our pool will be open with social distancing measures put into place with lounge seating. Please make sure to make note of the pool occupancy limits posted at the entrance door.

Water Fountains will be closed. Please bring in your own water for workouts or purchase a bottle of water at Grow prior to starting.

Daycare Services are open as of September 8, following modified procedures, hours and requiring advance booking. Information here.

Weight/Cardio Rooms & Women’s Only Room:

  • We have implemented some directional arrows, signage and placement to ensure physical distancing can be achieved where possible. Some equipment will be closed or disabled.
  • Members are encouraged to use their best judgement when determining is distance is enough and adhering to the recommended 2 metres (6 feet) apart from other members.
  • Foam rollers, mats and bands will NOT be available at this time. Members are encouraged to bring their own workout mats and small equipment of their own should they like.
  • Small equipment for pilates and yoga will not be available (mats, blankets, bolsters, blocks, straps etc)

Closed Amenities

  • Towel service is suspended for the time being
  • Fans will remain off to prevent unnecessary movement of air
  • Saunas, Steam Rooms, Hot Tubs
  • Tanning
  • Classes not currently available - TRX

Group Fitness

  • We will no longer be providing paper schedules to reduce high touch germ spread. All class schedules are updated and available online
  • You can customize your schedule to see only the classes you are interested in and you can print off at home should you like.
  • All classes will be reduced to 45 minutes to allow for proper cleaning BEFORE AND AFTER class.
  • Group exercise classes can be booked through our Gametime system.
  • You will notice clear floor decals to indicate proper social distancing in the studios.
  • All classes will have lower occupancy to ensure safe distancing while working out.
  • TRX classes will not currently be available.
  • All equipment will be set up prior to the class at each station by the instructor and will be cleaned and put away following the class by the instructor as well.

Racquets

Tennis:

  • Tennis will be available to book casual play court time.
  • Leagues are beginning Fall 2020. Read the tennis procedure PDF

  • Private lessons will be available.

Squash:

  • Singles play is now permitted following Squash Ontario's guidelines — two players may play squash if they are in the same household or pod.
  • Players may be in only one pod, and pods may contain up to 10 players. A pod agreement form is required.
  • League play is to be organized into session pods.
  • Special rules to reduce deliberate contact include no touch lets, and certified face shields are recommended.

  • Private lessons will be available.

Spectators & Supervision: No spectators or guests are permitted at the facility; however, there can be one accompanying parent, guardian or other adult for a player under the age of 18. Any accompanying adult must remain outside of the court, wear a mask and maintain a two metre distance from any other person in the facility.

A coach who is an employee or contractor to the club or facility can be present in the court area; however, the coach must not enter the court while there is a player on the court, must wear a mask at all times (and any other personal protective equipment that may be required under relevant government policies), and must maintain a distance of at least two metres from any other person in the facility. All unaccompanied junior players must also adhere to all club/facility policies regarding unsupervised attendance at the club/facility.

Personal Training

  • We are able to offer personal training in the club.
  • Personal training sessions will be booked by your trainer. You do not need to book time in Gametime for these sessions on your own.
  • Contact your personal trainer directly to book time.
  • If you would like to purchase a personal training package or arrange for a trainer if you don’t already have one, please contact the membership office to arrange.
  • Trainers will be required to wear masks when training clients.
  • There will be no physical contact between trainer and member. Trainers will be avoiding any exercise that requires spotting or physical touching.
  • Handshakes, hugs and smooches are off the table for now! A smile and a wave is all you need.
  • Members must be prepared to handle weights and equipment provided.
  • All equipment and weights used will be cleaned BEFORE AND AFTER your session.

Grow Kitchen & Cafe

Grow will open along with us and we encourage all members to download our Reward app to pre-order online for mobile pick up. Our app is available in the itunes store or google play store for android. Our food services have their own Clean Care protocols

Frequent Questions

Do I need an appointment to workout in cardio or weight rooms?

No, there are no appointments to workout in the cardio or weight rooms or women's only area - we monitor capacity

Do I need to wear a mask while working out?

No, you can take your mask off while engaged in a workout activity

Do I need to wear a mask in public areas?

Yes, you should be wearing your mask when you arrive, and following your workout to go to the locker room.

Do I need to book a space to attend a class?

Yes, you do have to book into classes and we've made that process super simple online

Can I shower after a morning workout?

Yes, showers are open so you can have your early morning workout and get ready in the locker room

Do I need to bring my own towels?

Yes, our towel service is suspended for the time being so please bring your own.

Are the saunas, steam rooms and whirlpools available?

No, steam rooms, saunas and whirlpools are all still closed down for the time being

Is the daycare centre available?

The Children's Activity Centre opens September 8, following modified procedures, hours and requiring advance booking. Information here.
